Image ProFile® Core Modules

Scan

The Image ProFile® Scan module is one way of loading images into the Image ProFile® system. It allows scanner operators to set configuration templates and scan sets of batches in using the settings specified in the templates. The operator has the ability to assign custom properties to the batch such as Urgency, Location or Scanner Operator.

Scanned information can be checked for accuracy against a common set of business rules and also custom organisational business rules. These rules are defined and managed by the administrator in accordance with the requirements of the business. Additional features such as auto batching and batch limits can be configured to further automate the scan process.

After images are scanned, they are passed to Forms Processor which processes each image within the batch. Typically, a barcode is attached to each form which is used to specify a request number (also known as the episode or lab number) and this is where this barcode is read and validated.

Forms Processor

The Forms Processor Module consists of two applications, the Forms Processor Service and the Forms Processor Monitor. The Forms Processor Service's prime function is to perform mark recognition on pre-defined recognition zones on an image. The Forms Processor allows four types of recognition markings: Barcode, Optical Character Recognition (OCR), Intelligent Character Recognition (ICR) & Optical Mark Recognition (OMR). The major reason for collecting all form data is brought about by a move towards automating data entry into a Laboratory Information System (LIMS). Forms Processor has been designed in such a way to provide total flexibility for future addition of this functionality. This functionality can be implemented differently without affecting the rest of the application.

Document Registration

Document Registration consists of two applications: the Registration Service and the Registration Monitor. The Registration Service has two main functions. The main function of the service is to process queued records stored in the Queue Database, indexing them into the Image ProFile Database. The digitally signing process of the Registration Service enables the Image ProFile® system to provide image integrity by binding both the Image Key and the Date of Index to the Image file. The Monitor is responsible for monitoring service statistics, configuration of the service and to manage those images that have failed the signing process. The Monitor provides a shortcut to the PsiConsole Application provided by the HIC, which is used to manage the store and certificates used to digitally sign the image.

Manual Correction

Manual Correction is responsible for the data correction for images that fail barcode recognition or business validation rules during the recognise process. Images and batches that are processed by Manual Correction can be either be corrected and queued for indexing, or batches and/or images can be removed all together from the Image ProFile® Queue cycle.

Enquiry and Display

Image ProFile® Enquiry is a stand-alone Image ProFile® module that is responsible for the retrieval of images from the Image ProFile® database(s). Enquiry can locate images stored on cache volumes, the main image store as well as archive volumes. Enquiry makes use of the Image Viewer to display images to the user. The Viewer allows for simple image manipulation. Functions like rotation and zoom exist so that the operator can view the image in the easiest way possible. Any image manipulation is temporary only. The source image remains untouched at all times.

Image Link

Enables Image ProFile® to be quickly integrated with any LIMS or other applications to provide a single interface to images for laboratory users. Image Link achieves this through intelligent screen scraping techniques. Provides the user with the ability to launch Enquiry and Display using a pre-defined hotkey. It also enables the function to be performed automatically at defined intervals, extremely useful for verification processes.

Remote Site Processing

A remote site can perform the scanning and all the necessary processing to a local database and a local image repository both of which are automatically synchronised with the main central site. The synchronisation can be immediately or at pre-defined intervals.

FaxIn Processor

FaxIn allows documents to be faxed into the system rather than scanning. Faxed images can be queued to FAxQA process for QA or queued directly to Forms Processor as if they had been scanned.

Fax QA

Fax QA is the application used to perform Quality Assurance on images faxed into the system. Fax QA allows the user to set up the batch information for faxed images (similar to scanning), whilst also allowing the user to perform image manipulation and enhancement.

Intelligent Forms Processor

Intelligent Forms Processing streamlines form processing and provides dramatic productivity improvements, by automatically extracting data from Request Forms, and pre-populating the Laboratory Information Management System (LIMS) data entry fields, thereby greatly reducing manual data entry effort. Form type recognition includes Barcode, Optical Character Recognition (OCR), Intelligent Character Recognition (ICR) and Optical Mark Recognition (OMR). Other form data can also be captured. Data is then corrected and validated against a set of business rules and Database Tables which have been extracted from the LIMS Data Entry application.

Heads Up Data Entry (HUDE)

HUDE – Core System

Heads Up Data Entry (HUDE) allows the easy entry of data from scanned in forms to the lab system making the process as easy and seamless as possible. HUDE allows the operator to enter the data from the Request Form directly into the Laboratory Information Management System (LIMS) using the images from scanned or faxed documents. HUDE prioritises and forwards document images to data entry operators, and aids them in quickly transferring information to the LIMS. The system has two main operational modes; disconnected mode where HUDE operates independently of the lab system, and connected mode where it communicates directly to the lab system which controls HUDE.

HUDE consists of two applications; HUDE Service and HUDE Client, and HUDE can be upgraded to Distributed HUDE to enable remote forms processing.

HUDE Service

The aim of the HUDE (Heads Up Data Entry) Service is to provide functionality for managing clients, processing various requests from clients, and obtaining and issuing statistical data on a regular basis.

HUDE Client

The HUDE Client is designed to be as powerful and flexible as possible, yet remain simple and easy to use for data entry operators. It is designed to fit into a wide variety of situations. There are two modes in which HUDE can operate. The standard mode which only allows basic data entry commands. There is also an additional supervisor mode which is capable of performing additional advanced functionality. HUDE can operate on multiple queues and can be configured to Queue to a configurable queue name when operators encounter an error and/or when an operator has successfully completed data entry for an image. This is done behind the scenes and without the data entry operator's knowledge.

Distributed HUDE

HUDE can be upgraded to enable remote functionality. This module upgrade is highly recommended for laboratories which operate within a network of multiple sites, with data entry operation performed in several locations. Request Forms can be scanned or faxed into the Central HUDE Queue from remote laboratories and collection centres which may be in multiple geographic locations. Documents scanned or faxed at the remote site can be placed into the Local Queue on that site.

Document images are transferred to HUDE Queues at the remote or central site where the data entry operators are working. To address bandwidth issues, Distributed HUDE uses technology that bypasses the communications infrastructure, so the transfer of images takes place as a background process, which does not interfere with other business processes relying on the communications infrastructure.

Archive Management

The Archive module is an integrated component of Image ProFile®. It controls the archival and permanent storage to CD or DVD media of documents scanned and indexed through Image ProFile®.

Import

The Import Module consists of two applications: the Import Service and the Import Monitor. The Import Service's prime function is to import files from a pickup directory by external software for indexing and retrieval. The monitoring tool can be deployed on multiple machines allowing an Administrator to monitor the service remotely without requiring terminal services or similar technologies to the machine hosting the service.

Transfer Agent

The Transfer Agent Module is a stand-alone Image ProFile® module that is responsible for the transferral of images from one Imaging Server to another. Images are commonly transferred for archival or if the destination site requires the image via image retrieval (Enquiry).

Verify

Image ProFile® Verify is a system administration utility that is responsible for the verification of the Image ProFile® database to ensure all images are correctly indexed.

Advanced Data Capture (Scan and Processing)

The Advanced Data Capture Module allows for the Scanning and Processing of documents that are diverse and are usually part of Patient Records. Features of note are:

  • Ability to scan in batches by patient or other groupings
  • Highly Flexible and Configurable Meta Data definition for each Form Type
  • Verification and enhancement of scanned documents prior to processing
  • Automatic recognition of Form Type, Patient Id and other defined fields
  • Manual Correction and Verification of documents which have failed automatic recognition
  • Application of Client Specific Business Rules for a Form Type or a process

Allows the Image Viewer to be accessed from your own applications, extending their functionality.

Document Manager

The module enables control deletions and modifications to documents and records. It includes the ability to setup user permissions to modify, request deletion, and mark images as deleted. It provides event audit trailing that tracks changes and deletions, and administrative functions that allow images to be restored, and virtually deleted images to be reported.
